Under the supervision of the Clinic Operations Manager and/or Cancer Services Infusion Scheduling Supervisor, the Infusion Scheduler is responsible for scheduling and coordinating patient appointments for Infusion, Fast Track, and lab services in accordance with established protocols. Scheduling activities are performed in-person, by phone, or electronically via Epic/Cadence, requiring strong attention to detail to ensure accurate, efficient, and safe patient scheduling. This position works closely with patients, providers, nursing teams, administrative staff, and leadership to coordinate infusion appointments and support a positive patient experience. The Infusion Scheduler ensures appointments are scheduled according to provider orders, treatment protocols, and template availability while maintaining accuracy and timeliness. The Infusion Scheduler communicates regularly with clinical teams and patients regarding appointment scheduling, updates, and reminders. They answer incoming calls to schedule appointments and address non-clinical questions, escalating clinical or medical concerns to the appropriate clinical staff. Outbound calls are also required to schedule new and recurring infusion regimens and to confirm updates or upcoming appointments. This role is responsible for ensuring patient registration, demographic, and insurance information is accurate and up to date, as well as creating Hospital Account Records (HARs). The Infusion Scheduler supports referral coordination and authorization workflows by ensuring each appointment has an appropriately linked and accurate referral. They assist in directing patients to the appropriate scheduling pathways and contribute to maintaining efficient patient flow across infusion services. The Infusion Scheduler may also support front desk functions, call center coverage, and other clerical or administrative duties as needed to support daily operations across infusion service areas. Candidates must be adaptable and flexible, as scheduling priorities and infusion room assignments may shift based on operational and patient care needs. This role requires strong attention to detail, excellent customer service skills, and the ability to work effectively in a fast-paced, high-volume environment.

Qualifications

Minimum of 3 years of experience in patient access, scheduling, or a healthcare administrative role Experience in a healthcare or customer service environment Basic proficiency with Epic/Cadence or similar electronic scheduling systems (training provided if needed) Understanding of medical scheduling workflows preferred Strong communication and customer service skills Ability to manage multiple tasks in a fast-paced environment Basic knowledge of insurance and authorization processes preferred Proficiency in Microsoft Office applications (Excel, Outlook, Word, Teams) Strong adaptability and flexibility, with the ability to respond to shifting scheduling priorities and infusion room assignments based on operational and patient care needs
