Space is one of the most critical—and costly—assets in healthcare. In this role, you’ll shape how UC San Diego Health plans, tracks, and optimizes its environments, directly impacting patient care, operational efficiency, and millions in financial performance.The Space and Move IWMS Project Manager role serves as the UC San Diego Health (UCSD Health) system owner for IBM TRIRIGA, the organization's Integrated Workplace Management System (IWMS). They will establish and maintain standards and processes across multiple TRIRIGA modules — including Space, Move Management, Hoteling, and Financial reporting — to support the Facilities Space and Move Planning department and its stakeholders across UCSD Health. This role works in close coordination with campus TRIRIGA administration, cross-functional departments, and UCSD Health leadership to drive system adoption, data integrity, and informed decision-making. The position partners closely with Construction PM’s, design/construction consultants, Facility MEP Engineers, Life Safety specialists, and others to ensure digital building information is maintained in a repository, is accurate, trusted, and usable. This work directly supports UCSD Health’s ability to effectively plan, utilize, and standardize space reports that are integral to financial reimbursements. Key Responsibilities: Manage the technology, data, and workflows that connect design, construction, and space and occupancy across the health enterprise. Enhance IWMS/CAFM system, including data migration, floorplan management, workflows, and space data integrity. Assist with space planning and programming, occupancy planning, and utilization analysis. Oversee the optimization, daily operation, and continuous improvement of TRIRIGA for all UCSD Health space to ensure accurate and compliant space data adhering to regulatory and licensing standards. Develop and implement operational standards, workflows, and process documentation for TRIRIGA system use across the Health enterprise. Track key performance metrics, analyze data, and create summary reports and dashboards for use by the department and Health leadership. Develop and deliver end-user training programs and support resources to drive TRIRIGA adoption across Health facilities. Serve as the primary point of contact, and support the Facilities Space and Move Planning department on all TRIRIGA-related matters. Ensure project closeout packages include accurate as-built models. Optimize the utilization of clinical and non-clinical space, through CAD floor plan management, utilization space audits, and relocation coordination. Create block and stack plans and develop space layout options for departmental reorganizations. Assist with analyzing headcount to optimize seat/space assignments. Manage the space validation processes, data collection and field verification. Lead user training and change management. Partner with Campus team to ensure CAD floorplans are maintained and updated and building documentation is in alignment with TRIRIGA space data, incorporating changes resulting from construction, renovation, and occupancy updates.
Qualifications
Seven years of related experience, education/training, OR a Bachelor’s degree in related area plus three years of related experience/training. Three to five years of experience in drafting; proven ability to read and interpret building plans and specifications and communicate information to a variety of audiences. Proficiency with AutoCAD, Revit, CAFM/IWMS software, and Microsoft Office Suite (Project, Excel, PowerPoint, etc.) Subject matter expert in CAFM/IWMS software project management, roll out, and implementation. Experience with identifying opportunities and implementing continuous improvement initiatives to align with new technology and industry best practices. Experience with IWMS/CAFM software, system modules and configurations outside of space planning, such as condition assessment, asset management, occupancy sensors, and preventative maintenance. Experience in CAFM development and customization, data migration (ETL), and setting up new platforms. Experience working with IS integration and IS security for seamless coordination between multiple systems. Familiar with BOMA standards. In-depth understanding of CAD building floor plan conventions, standards, and layer management. Extensive experience in space planning & programming, occupancy planning, and utilization analysis across large, multi-site organizations, preferably healthcare. Experienced in gathering and analyzing data from multiple sources and creating custom reports to be presented to multiple different stakeholders to support planning decisions. Experience developing and implementing space standards, processes, workflows, and training programs. Expert in translating stakeholder needs into scalable workplace systems, reporting, and operational processes. Strong project management skills to effectively manage project components adhering to strict scope, schedule, and budget. Knowledge of applicable building codes and / or regulatory requirements including, but not limited to, Title 24, OSHPD/HCAi, CDPH and the Americans with Disabilities Act. Ability to work effectively in a team environment and in a dynamic setting of constantly changing priorities without compromising work quality or productivity. Strong leadership, analytical thinking, and risk management. Ability to act independently, receiving guidance as needed, while demonstrating good judgment in selecting methods and techniques for obtaining solutions.
