Position Description
The Front Office Specialist will serve as a primary point of contact for patients, providing courteous, professional communication via phone, in-person, and electronic messaging.Communicate directly with insurance carriers to: Confirm authorizations. Review, verify, and interpret health insurance benefits. Resolve coverage questions related to infertility and women’s health services. Utilize insurance portals efficiently for benefit verification, authorization tracking, and documentation. Proactively contact patients to schedule and coordinate time-sensitive appointments, procedures, and testing specific to fertility treatment cycles. Maintain and manage clinic schedules using Epic Cadence, including template management, optimization, and troubleshooting to support provider availability and patient access. Collect self-pay balances, co-payments, and outstanding patient financial responsibilities in accordance with UCSD Health policies. Place orders for office and clinical supplies and ensure appropriate inventory levels are maintained. Accurately document all patient interactions, insurance communications, and scheduling activities in the electronic health record. Prioritize tasks independently in a detail-oriented environment while meeting deadlines and maintaining accuracy. Support clinic workflows and other administrative duties as assigned to ensure smooth daily operations.
Qualifications
A minimum of three (3) years previous related experience in a large complex healthcare setting. Demonstrated experience speaking directly with insurance companies regarding authorizations and benefit verification. Comfort navigating multiple insurance portals and electronic systems. Experience with Epic Cadence scheduling and schedule template management. Strong communication skills, both verbal and written. Ability to work independently with minimal supervision while managing competing priorities. Excellent organizational skills and attention to detail. Professional, compassionate approach when interacting with patients facing sensitive fertility-related concerns. Strong experience with e-mail, excel, Microsoft word, and basic computer applications
