DEPARTMENT OVERVIEWEighth College is the newest in UC San Diego's Undergraduate College System. The Residential Life staff provides the following programs and services for our residential community:• Leadership and other involvement activities (e.g., Eighth College Student Council, Resident Assistants)• Community-building programs that reflect the Community engagement academic theme of the college• An educationally deliberate Residential Life program POSITION OVERVIEW: Under the supervision of the Director of Residence Life/Associate Dean of Student Affairs, the individual in this position shares the responsibility for the overall day-to-day functions related to office administration and programming support of the Eighth Residence Life Office. Under the guidance of the Undergraduate Colleges Business Office (UCBO), this individual implements policies, procedures, and guidelines for fiscal and office matters pertaining to the Eighth Residence Life Office. Implements office procedures and performs clerical and administrative services. Assists in processing residential judicial cases using the UCSD student conduct database, Advocate. Serves as primary liaison between Eighth Residence Life Office and UCBO.
Qualifications
Effective interpersonal and verbal communication skill with the ability to clearly, courteously, and diplomatically communicate information to a diverse group of people (including students, parents, staff, and the community) in person, on the telephone, and via e-mail in a professional manner. Knowledge of residential housing operations in a university setting. Experience working in an office/administrative setting, preferably in a college or university environment. Ability to organize and meet deadlines in a timely manner, deal with changing priorities and work well under pressure. Skill to coordinate high volume workload with frequent interruptions and conflicting priorities. Ability to develop, organize and manage systems for the coordination of student information and confidential files. Attention to detail essential. Demonstrated ability to accurately proofread, and prepare correspondence including correct grammar, punctuation, spelling and standard business format. Ability to take initiative. Proven ability to initiate and track various issues and follow-up to ensure timely completion of projects. Demonstrated experience with business productivity applications including, but not limited to, Word, Power Point, Outlook, Publisher and Excel. Experience with or ability to quickly learn Content Management System (CMS) for website updates. Skilled in using general office equipment including laptop, desktop computer, projectors, fax machine, scanner, copy machine, etc. Demonstrated ability to exercise independent judgment, discretion, initiative, tact and diplomacy in handling sensitive matters and maintaining strict confidentiality. Ability to work in a team environment, remaining attentive to ideas, recognizing responsibilities, and actively participating with others to accomplish assignments and achieve desired goals.
