Position Description

Under general supervision, the New Patient/Clinical Care Coordinator provides high-level administrative and clinical support to Oncology Surgeons and Advanced Practice Providers in the Breast Surgical Oncology. This role is essential as a point of contact for new internal and external referrals and is responsible for: Processing external referrals via Biscom fax. Registration of new patients, including verifying eligibility on insurance(s) and following up on authorizations. Referral triage and following up on external records and images, as well as required testing prior to the consultation. Work queue management. Collaboration & Communication: Serve as a key contact for patients, referring provider offices, Breast Surgical Oncology AA team, faculty, and clinic staff. Scheduling New Patient Consultations by utilizing all templates under Breast Surgical Oncology. Additional responsibilities may include: Cross-training to support all Clinical Care Coordinator tasks, including surgery coordination and scheduling in Breast Surgical Oncology. Faculty Support: Manage and maintain complex calendars, coordinate travel, and process reimbursements. Prepare and distribute clinic notes, medical records, and correspondence. Tumor Board Management: Organize and facilitate weekly General Tumor Boards, including: Collecting and compiling pathology reports, slides, and imaging from internal and external sources. Preparing case materials for review by Pathology and Radiology. Scheduling meetings, maintaining historical case records, and distributing meeting minutes. Collaboration & Communication: Serve as a key contact for faculty, clinic staff, administrators, and internal and external resources.

Qualifications

Three (3) years of related experience working in a large, complex healthcare setting. Knowledge in medical and scientific terminology. Demonstrated knowledge of various insurance products, community medical groups, and third-party payors, including federal, state, and private health plans. Demonstrated proficiency in utilizing office software applications (Word, Excel & PowerPoint), and Electronic Medical Record (EMR) at an advanced level. Proven ability to interact well with care teams, all patients, and families. Excellent customer service skills.
