Position Description
The Operations and Services Manager for Triton Center is a member of University Centers operations team within Campus Activation. Under supervision of the Principal Facility Services Manager of University Centers, the Operations and Services Manager supports the daily operations of assigned facilities, venues, and meeting rooms, and is primarily assigned to the Triton Center, a multi-use, public complex serving students, faculty, staff, alumni patients, and visitors. The Manager serves as the primary property contact for occupants of the Triton Center. Responsibilities include interacting with university staff who have offices in the Triton Center to address facility concerns and liaison with designated campus service partners including Facilities Management, Police Department, Transportation and Parking, Key Shop, Signage Shop, etc. Additional responsibilities include working with the Event Services team and guiding a student team to execute conference and event seating, furniture, staging, and audio-visual sets-ups of meetings and events. The venues of Triton Center are multipurpose spaces and the Manager must be able to successfully plan and execute a myriad of complex set-ups and turn over in set-ups. Activities include donor and alumni receptions, banquets, galas; student concerts, rallies, and dances; academic conferences and symposiums. Events may include alcohol service or other complexities, and require the Manager to effectively consult on security, emergency response, and risk management procedures. The position may consult on the planning, coordinating, and oversight of public events with the assigned facilities. Applies campus policies and procedures to resolve a variety of facilities management issues. Works on facilities management problems of moderate scope where analysis of situations or data requires a review of a variety of factors.
Qualifications
Working knowledge of practices and procedures relating to facility maintenance. Knowledge of facility/property management principles, customer service practices, and building operations in a multi-tenant environment. Skill in coordinating communications, resolving occupant concerns, managing service requests, and collaborating with campus partners and technical service providers. Written communication skills to prepare a variety of correspondence, reports, policies and procedures, and training documents. Skills to work under pressure of deadlines in a stressful environment. Active listening, interpersonal communication and problem-solving skills to effectively resolve questions, concerns, issues or problems and ensure cooperative and productive working relationships. Skills to work independently and as part of a team. Working organizational skills to work on multiple projects with competing deadlines, to establish goals and work load priorities, and to meet project deadlines within budget and time constraints. Knowledge of facilities operations, work order management, and scheduling systems. Skill in coordinating and tracking service requests, preparing status reports, and communicating effectively with tenants, campus partners, and leadership. Experience managing multiple work orders, interpreting facility schedules within a reservation management system (T-RES), and coordinating space reservations. Working knowledge of practices and procedures of safety and emergency preparedness. Knowledge, skills, and experience in the operation of student union, or other multi-use facilities, that include meeting, event, retail, and student organization facilities. Experience interacting with operations, custodial, maintenance, event programming, event security staff, police and technical services staff in order to successfully operate a clean, safe, and comfortable facility. Skill and knowledge of crowd control management practices for safe and efficient queuing and monitoring of customers in and out of various events in various facilities, both indoors and outdoors. Ability to anaylze situational changes and make appropriate security and entry procedure modifications as necessary to better serve customers and reduce risks. Trained in CPR, First-Aid, and AED with attention to being the safety coordinator for the University Centers. Skill in the set-up and tear-down of furniture, staging and audio-visual equipment. Ability to maintain such equipment and perform minor maintenance and repairs. Thorough knowledge and understanding of concepts, principles and practices of event design, organization and production. Experience maintaining, tracking and controlling radios, keys, key logs, supplies and equipment inventory and compiling related reports Experience monitoring complex events such as dances, concerts and talent shows attended by 1000+ people and that require security, staging, and technical services such as sound, lighting and projection. As Safety Officer, ability to decipher risks inherent in events and develop solutions to minimize risks.
