Position Description
Using skills as a seasoned, experienced Student Services professional, provides the full range of student services within an organization such as an academic department, school, or college. Independently advises students and resolves student services-related issues on the full range of academic issues inherent within the organization. Advises faculty and management on a variety of student issues. Under general direction, manages a complex, comprehensive Academic Advising program and administratively coordinates its services with other campus wide units. Responsible for the planning, management and coordination of the SE undergraduate program (approximately 700 students) and M.S. and Ph. D programs (approximately 170 students). As consultant to the Vice Chair(s), Chair, and faculty committees, perform high level analysis in the formulation, development, and implementation of policy and key procedures for the operation of the Student Affairs units in SE. Oversee the management of curriculum and programs, advising, admissions, outreach and recruitment, scheduling; registration, TAs and GSRs. Responsible and accountable for the fiscal management of graduate student funding support, policy development and implementation. Responsible for the overall administration and management of the Student Affairs units including staff supervision, training, workload distribution. ~Cover letter required for a complete application.
Qualifications
Bachelor's degree in related area and / or equivalent experience / training. Working knowledge of advising and counseling techniques. Substantial professional experience in a college academic advising environment. Demonstrated skill in counseling and advising techniques including active listening, interviewing, with special knowledge and abilities to assist students in academic or personal crisis. Ability to determine when to refer a student, using tact and diplomacy and how to act as the student's advocate and liaison with other campus offices and colleges. Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences. Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance. Ability in problem identification and reasoning. Ability to resolve conflicts among staff, faculty and students with creativity and authority while maintaining a professional relationship. Ability to control situations or events in the absence of higher authority and to make recommendations or decisions that affect office operations and activities. Ability to develop original ideas to solve problems. Ability to maintain confidentiality, make independent decisions, and to provide consultative services to administrative and academic personnel. Ability to work with initiative and minimal supervision. Interpersonal skills. Demonstrated excellent interpersonal skills, with the ability to represent UCSD appropriately to internal and external constituents. Ability to adjust to shifting priorities and work under short deadline situations while maintaining composure. Multicultural competencies; ability to work with diverse populations. Ability to work independently exercising initiative and judgement in the performance of responsibilities. Strong leadership, organizational, negotiation, decision-making and management practices skill. Extensive theoretical and practical knowledge of policies and procedures relating to graduate and undergraduate students and curriculum administration, to advise students, faculty, administrators and others about academic policies and requirements and to implement the department's goals and objectives for the student academic programs. Skills and knowledge to supervise, delegate and set priorities. Supervisory skills: a. Demonstrated experience and skill to routinely monitor production and quality of work being produced by staff and setting performance standards. b. Demonstrated experience and skill to assess staff capabilities and workloads and redistribute when necessary. c. Demonstrated experience and skill to teach/train staff in all aspects of job duties/responsibilities. d. Skills and knowledge of personnel practices and policies, i.e, affirmative action, interviewing and selection processes, supervision, benefits, corrective action, evaluation, etc. Excellent written communication skills, with the ability to write concisely, persuasively, and in summary form. Skill to compose, edit and proofread narrative sections of printed information. Demonstrated experience working with student affairs record management systems databases. Demonstrated extensive knowledge and experience using ISIS, various Student Affairs automated tools and retrieval of student data.
