The School of Humanities and Sciences (H&S) is the foundation of a liberal arts education at Stanford. The school encompasses 23 departments and 25 interdisciplinary programs. Department/Program Description: Stanford Mathematics The Department of Mathematics is currently looking to fill a full-time Research Administrator 1 position. This role encompasses the administration of post-award processes for the department's sponsored research, as well as the administrative, fiscal accounting, and customer service components tied to faculty members' financial portfolios. Portfolios include sponsored funded research, gifts, and unrestricted funds. The chosen candidate will be responsible for the department's post-award functions, ensuring that all research activities and unrestricted faculty accounts comply with Stanford, sponsor, and federal regulations with minimal oversight. Position Summary: The Research Administrator will work under general supervision of the Senior Manager, Finance and Research and must possess and demonstrate a positive outlook on continuous process improvement efforts while maintaining a team-based and customer-focused mindset. This position requires the ability to practice sound judgment and decision-making; effective written and oral communication; strong attention to detail, and a desire for a collaborative, team-based work environment. This position also requires a strong desire to learn new business subjects, policies, and processes related to finance/research administration. The ability to transform this knowledge into practical success will be crucial. This is a 100% FTE, continuing, non-exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid, on-site 3 days a week and off-site 2 days a week), subject to operational need. CORE DUTIES: Serve as liaison and active partner between principal investigators, students, visitors, Office of Sponsored Research, and other departments; respond to sponsor inquiries. Collaborate with Office of Sponsored Research to ensure awards are set up properly, including cost-sharing awards if applicable. Review and understand the terms and conditions of sponsored projects administered, including linked/footnoted terms and conditions not provided in hard copy or electronic copy. Initiate, and review expenditures; monitor post award spending, sub award funding and invoicing, and commitment activity. Review and certify monthly expenditure statements and facilitate sponsored quarterly certification by principal investigators. Download and monitor reports supporting project status and use forecasting and decision aids under guidance. Participate in contract closeout process and audit inquiries; submit annual and final reports and certificates in collaboration with OSR. Participate in and contribute to process improvements and group projects. * Other duties may also be assigned. EDUCATION AND EXPERIENCE: Bachelor's degree and one year of job-related experience, or combination of education and relevant experience. KNOWLEDGE, SKILLS, AND ABILITIES: Ability to learn and stay updated about university and government policies (FAR, Cost Accounting Standards, Office of Management and Budget circulars, sponsored guidelines, etc.) to properly administer sponsored projects. Demonstrated understanding of terminology, such as compliance, title, sub-contractor, consultant, audit, and accounting review. Willingness and ability to understand and interpret university policies and procedures. Excellent oral, written, and verbal communication skills. Excellent analytical skills; demonstrated expertise in Excel and web-based tools. Strong accounting skills; knowledge of basic accounting principles. Ability to complete Cardinal Research Administration Foundational Training (CRAFT) I and II while in position. Extreme attention to detail. Ability to work well independently, but also to seek assistance when needed. Excellent time management and organizational skills. CERTIFICATES AND LICENSES REQUIRED: · Cardinal Research Administration Foundational Training (CRAFT) I and II must be completed to remain in this position.
