The School of Humanities and Sciences (H&S) is the foundation of a liberal arts education at Stanford. The school encompasses 24 departments and 25 interdisciplinary programs. H&S is home to fundamental and applied research, where free, open, and critical inquiry is pursued across disciplines. As the university’s largest school, H&S serves as the foundation of a Stanford undergraduate education no matter which discipline students pursue as a major. Department/Program Description: The mission of the Stanford Chemistry Department is to deliver excellence in education and research by attracting the very best faculty and students. The Department serves 26 faculty members, 5 lecturers, ~90-100 postdocs, ~250-300 PhD students, ~10 research staff, and 30 administrative staff, with an annual consolidated budget of approximately $30 million. The Department facilities consist of over 300,000 square feet of research, classroom and administrative space spread over 6 buildings. Position Summary: The Chemistry Department is seeking an outstanding leader in Student Services to serve as a high-level administrator and strategic partner. Reporting directly to the Director of Finance and Operations, this individual is a key member of the Department Management Team, providing direct supervision to two staff members and overseeing comprehensive programs for up to 350 undergraduate, graduate, and postdoctoral scholars. The incumbent will administer, implement, and interpret university and department policies and procedures across the full spectrum of student services, including admissions, financial aid, registrar services, visa services, student life, and academic advising. This role interfaces regularly with undergraduate and graduate students, providing direct guidance and advice on academic progress, program policies, and career plans. This position requires expert technical knowledge and independent judgment to identify and resolve highly visible, complex issues with substantial impact that may span multiple functional areas. As a critical member of the Faculty Graduate and Undergraduate Curriculum committees, this leader manages multi-faceted issues where data analysis requires an in-depth evaluation of variable factors. Responsibilities include overseeing all aspects of graduate and postdoctoral scholar finances (including GFS/GFPS entries), international student VISA processes, and curriculum reporting to the Dean’s Office. The individual will also manage course scheduling via the Stanford Bulletin and direct department commencement activities, ensuring all participants meet degree requirements. Working closely with functional leads in Finance/RA, HR, Facilities, and Communications, the incumbent evaluates and implements appropriate protocols and escalation techniques for addressing critical student issues and crises. This role acts as a primary mentor for students while maintaining a robust network of key contacts throughout the H&S Dean’s Office and the broader university community. This is a 100% FTE, continuing, exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid of working on-site and off-site), subject to operational need. CORE DUTIES: Manage an area or program in student services, analyze effectiveness, and make final decisions on program eligibility. Engage in critical analysis of student and program concerns to resolve substantial issues which may span multiple areas, using advanced technical and professional knowledge. Develop and implement programming (virtual, in-person), make strategic recommendations for future programs. Interpret and implement university policy related to academic policies; oversee the implementation of policies and practices for a student population or school. Analyze and develop report requirements, portals and student facing communications. Evaluate and determine recommendations on technology resources, negotiate with resources options and vendors. Manage outreach programs, relationships with external community and university liaisons. Provide direct advice to students on a range of issues including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., in order to assist them in making appropriate choices and decisions. May contribute to preparing and submitting training grants. May assist in development efforts to support donor relations, stewardship annual reporting. Provide consulting advice to internal and external organizations; act as subject matter expert in a specialized field. Oversee key processes, including contribution and direction on policy and program content. Manage financial processes and development of budgets. May lead teams and projects that impact a significant unit of the university. May direct the work of other staff; contribute to development of staff training programs. * Other duties may also be assigned. EDUCATION AND EXPERIENCE: Bachelor's degree and five years of relevant experience, or combination of education and relevant experience. KNOWLEDGE, SKILLS, AND ABILITIES: Advanced communication skills to clearly and effectively communicate information to internal and external audiences, client groups, and all levels of management. Strong analytical and problem solving skills to review and analyze complex information. Advanced computer skills, including experience with Microsoft Office Suite. Advanced customer service skills. Relevant computer systems/technology experience. Understanding of financial transactions. Ability to ensure and apply compliance with legal, financial, and university policies and external regulations. PHYSICAL REQUIREMENTS*: Frequently sit, perform desk-based computer tasks.
